This position is located at our  Austin Office, however, at this time during the Covid-19 Pandemic, The Hotline expects to be working remotely at least through 12/2020. To be eligible for this position, you must reside or plan to relocate to the  Austin area. We will continue to evaluate  when it is safe to return to our office, based on CDC recommendations. Candidates for this position need to be able to work remotely temporary with the expectation of returning to our  Austin Office."


General Position Purpose Statement 

The Donor Database Specialist reports to the Development and Marketing Manager and is responsible for the overall management of The Hotline's donor database (currently Raiser's Edge 7/NXT). This includes managing data integrity, gift entry and acknowledgements, one-to-many donor stewardship, conducting query and list generation in support of donor appeals as well as performing high-level database amendments with little supervision. This position will also develop and use best practice processes and procedures building upon what currently exists, conduct gift analysis, regular reporting, and tracking.

Essential Responsibilities


Database Management

  • Ability to perform high-level database procedures utilizing the RE Query module; assign and make updates to queries of constituent information, specifically but not limited to Assigned Appeals, Actions, Constituent Attributes, among other available fields.
  • Use best practice research to determine the appropriate data to track within the database and related coding to create more sustainable and accurate donor data.
  • Generate and provide accurate Constituent Lists, with appropriate exclusions, to support donor email and mailed appeals or other forms of communication, manage Consent related functionality and concerns, and process sign-ups.
  • Proactively determine donor trends and share them with the development team to develop opportunities for moves management to increase giving and re-engage lapsed donors.
  • Demonstrates an awareness and ability to think strategically about donor and/or gift-related fields, such as but not limited to, Campaign, Fund, and Appeal management and reporting within the Raiser's Edge/NXT.
  • Execute Imports and other Global Add, Change, and/or Delete functions with precision and accuracy; reviewing data before, during, and after task completion.


Donor Relations

  • Manage gift entry of all donations (online and offline) into the Raiser's Edge/NXT, as well as create new donor records and/or make appropriate updates to current constituent records in a timely fashion.
  • Produce accurate donor acknowledgement letters regularly, identifying when customization is necessary.
  • Manage and complete one-to-many donor stewardship per Development's standard operating procedures.
  • Assist with the development and execution of donor appeals and other stewardship-related items, as appropriate.



  • Report the performance and accuracy of donor appeals per gift coding standards, with quality and thorough review of reports prior to dissemination.
  • Compile and distribute weekly, monthly and yearly gift reports for Development and Finance. Coordinate with Finance on reconciliation, as needed, to ensure accuracy.
  • Accurately produce monthly dashboard reports for Development and the Board.



  • Fielding requests from the development email and donor relations phone line
  • Other duties as assigned.

Job Requirements and Responsibilities


  • One to two years of Raiser's Edge/Raiser's Edge NXT, or a similar donor database, experience, required.
  • Blackbaud Certification in the Raiser's Edge (bCRE), preferred.
  • Ability to maintain strict confidentiality of employee, donor, funder, and constituent information.
  • Highly organized, self-sufficient, and able to manage time and multiple projects on deadline.
  • Attention to detail, strong analytical skills, and data-driven thinking a must.
  • Experience with data entry, reconciliation, and analyzing a compilation of numerical data for financial reporting.
  • Proficient to expert in working with Windows 2000 and above, especially Excel and Word.
  • Ability to work with and respond with sensitivity and awareness to those with diverse cultural, ethnic, and social backgrounds, values, attitudes, and languages.
  • Excellent written and oral communication skills in composition and proofreading including good command of English grammar and spelling.
  • Ability to interact professionally and effectively with a diverse group of fellow team members, executives, managers, external groups and subject matter experts.
  • Ability to carry out and articulate with passion the mission, vision, programs and purposes of the organization.
  • Intentionally and actively, foster positive working relationships and organizational culture.
  • High school diploma or equivalent.


Other Requirements/Working Conditions


  • Ability to read, write and converse in English and tolerate prolonged sitting or
  • We periodically receive calls or emails from donors/survivors who want to share their story, which times, can be very personal. We expect this position to handle these calls with care, compassion and discretion knowing at all times we are a survivor-centered
